Insurance Billing Process

Insurance Billing Process for Transition-Related Laser Hair Removal + Dermal Filler

1. Initial Consultation and Assessment

The first step in the process of obtaining insurance coverage for transition-related laser hair removal or affirming dermal filler is to schedule an initial consultation with your healthcare provider. Whether this be your primary care provider or a surgeon. During this consultation, the provider will assess your eligibility for insurance coverage based on your gender identity and the medical necessity of the procedure for your transition.

2. Documentation of Medical Necessity + Referral

Your healthcare provider will document the medical necessity of transition-related laser hair removal and/or affirming dermal filler in your medical records. This documentation typically includes a diagnosis of gender dysphoria or gender incongruence, a treatment plan that includes laser hair removal and/or affirming dermal filler as part of your transition, and any supporting documentation such as letters from mental health professionals or specialists.

They can then submit a referral directly to your insurance company using diagnosis codes F64 or F64.9.

3. Consultation With Us!

After your referral has been sent in, you can come in for a consultation with us! During your consultation, we will discuss your goals of treatment and gather your insurance information.

4. Pre-Authorization and Insurance Verification

After your consultation, we will submit a request for prior authorization directly to your insurance company. Along with this request we will submit supporting documents, including the treatment plan and medical records, to support the prior authorization request. They will also verify your insurance coverage and benefits related to transition specific care.

5. Confirmation of Coverage and Benefits

After receiving your prior authorization, your insurance company will confirm the extent of coverage and benefits for transition-related laser hair removal and/or affirming dermal filler. This includes details such as the number of sessions approved, any out-of-pocket costs or copayments, and the specific criteria or requirements for coverage under your plan.

6. Treatment and Billing

Once coverage and benefits are confirmed, we will call you to schedule your laser hair removal or dermal filler treatments!

7. Submission of Claims

After each treatment session, our team will submit claims to your insurance company for reimbursement. These claims include detailed information about the services rendered, the medical necessity of the procedure for your transition, and any supporting documentation required by the insurance company.

8. Adjudication and Payment

Upon receiving the claims, the insurance company will review and adjudicate them based on their coverage policies and guidelines for transition-related healthcare services. Once the claims are approved, the insurance company will process payment directly to The Lounge.

9. Patient Responsibility

As a patient, you may be responsible for certain costs such as copayments, deductibles, or coinsurance associated with transition-related laser hair removal and affirming dermal filler. It's important to review your insurance policy and understand your financial obligations before undergoing treatment.

10. Follow-Up and Documentation

After completing the recommended number of laser hair removal sessions or dermal filler treatments as part of your transition, we will document the outcomes and any follow-up care required. This documentation is essential for continuity of care, insurance inquiries, and future transition-related healthcare services.

11. Insurance Appeals (if necessary)

If your insurance claims for transition-related laser hair removal or dermal filler injections are denied or partially covered, you have the right to appeal the decision through the insurance company's appeals process. We can assist you in this process by providing additional information or supporting documentation to support the medical necessity of this procedure for your transition.
